Introduction

VM2 Logistics provides transportation, freight forwarding, warehousing, customs coordination and other logistics services for domestic and international shipments.

This Shipping Policy explains the general process followed for shipments arranged through VM2 Logistics. Specific quotations, booking confirmations, service agreements or shipment contracts may contain additional terms applicable to a particular shipment.

03

Shipment Booking

Shipment bookings are generally confirmed after the required shipment details have been received and the applicable commercial terms have been accepted.

  • Shipment details: Customers should provide accurate origin, destination, cargo and contact information.
  • Cargo information: Weight, dimensions, quantity, description and other relevant information should be accurate.
  • Service confirmation: The applicable service, charges and estimated transit information may be communicated before shipment processing.
  • Booking acceptance: A booking becomes operational after confirmation by VM2 Logistics or the relevant service provider.
04

Pickup & Collection

Pickup arrangements depend on the selected service, location, shipment type and operational availability.

  • Customers should ensure that cargo is ready for collection at the agreed location.
  • The pickup address and contact details should be accurate and accessible.
  • Cargo should be appropriately packed and labelled before pickup unless packing has been separately arranged.
  • Waiting time, re-attempts or additional pickup requirements may result in additional charges where applicable.

Pickup times are generally estimated rather than guaranteed unless a specific guaranteed service has been agreed in writing.

05

Packaging & Labelling

Proper packaging helps protect cargo during loading, unloading, transportation and storage. Customers are generally responsible for ensuring that their cargo is appropriately packaged unless packing services have been separately agreed.

  • Packages should be strong enough for normal handling and transportation.
  • Fragile, hazardous or special-handling cargo should be appropriately identified.
  • Shipping labels should be clearly visible and contain accurate delivery information.
  • Old or conflicting labels should be removed before dispatch where appropriate.
06

Shipping Documents

Depending on the shipment type and destination, various commercial, transportation, customs or regulatory documents may be required.

  • Invoices and commercial documents.
  • Packing lists.
  • Transport or shipment documentation.
  • Identity or business documentation where required.
  • Import or export documentation.
  • Licences, certificates or permits where applicable.
  • Customs declarations and supporting documentation.

Incorrect, incomplete or delayed documentation may result in additional processing time, storage charges, customs delays or other applicable costs.

07

Transportation & Transit

Transit time depends on the transportation mode, origin, destination, route, shipment characteristics, customs requirements and operational conditions.

  • Road: Transit may vary according to route, traffic, weather and regulatory restrictions.
  • Rail: Transit depends on rail schedules, terminals and connecting transportation.
  • Air: Transit can be affected by flight schedules, security procedures and airport handling.
  • Sea: Transit can be affected by vessel schedules, ports, transshipment and customs procedures.

Unless expressly agreed otherwise, transit times provided during quotation or booking should be treated as estimates.

08

Shipment Tracking

Where tracking is available for the selected service, customers may receive shipment status information through the applicable tracking or communication system.

Shipment Status

Tracking information may show pickup, transit, hub, customs and delivery events.

Status Updates

Tracking updates may not appear instantly and can depend on carrier or operational systems.

09

Customs & International Shipping

International shipments may be subject to customs clearance, duties, taxes, inspections, permits, documentation requirements and other regulatory procedures.

  • Customers are responsible for providing accurate shipment and commercial information.
  • Customs authorities may inspect or hold shipments where required.
  • Duties, taxes and government charges may be payable by the applicable party according to the agreed shipping terms.
  • Customs clearance times can vary and are not always within the control of VM2 Logistics.
  • Additional storage or handling charges may apply when clearance is delayed.
10

Delivery

Delivery is made to the address and recipient details supplied during the booking process.

  • The recipient or authorised representative should be available where required.
  • Delivery may require proof of receipt or other confirmation.
  • Incorrect or incomplete addresses may cause delivery delays or additional charges.
  • If delivery cannot be completed, a re-attempt, return or storage process may apply.
  • Additional delivery attempts may be chargeable depending on the service.
11

Delays & Service Disruptions

Shipping schedules may be affected by circumstances beyond the reasonable control of VM2 Logistics, carriers or other logistics partners.

  • Severe weather or natural events.
  • Traffic congestion and road restrictions.
  • Port, airport or terminal congestion.
  • Customs inspections or regulatory requirements.
  • Carrier scheduling changes.
  • Government restrictions.
  • Strikes or operational disruptions.
  • Security-related restrictions.
  • Unexpected transportation or infrastructure issues.

VM2 Logistics will make reasonable efforts to communicate material shipment delays when relevant information becomes available.

12

Restricted & Prohibited Shipments

Certain goods may be restricted or prohibited by applicable law, carrier rules, transportation regulations, customs requirements or destination country regulations.

  • Illegal goods or substances.
  • Undeclared or improperly documented regulated goods.
  • Dangerous or hazardous materials without the required approval and documentation.
  • Goods prohibited by the destination country's import regulations.
  • Items prohibited by the applicable carrier or transportation provider.

Customers must disclose the nature of the cargo accurately before booking. Acceptance of a shipment does not override applicable laws, customs requirements or carrier restrictions.

13

Damage, Loss & Shipment Issues

Customers should inspect shipments as soon as reasonably possible after delivery.

  • Visible external damage should be reported promptly.
  • Shortage or missing packages should be reported with relevant shipment details.
  • Supporting photographs, delivery records and other documentation may be requested.
  • Claims may be subject to the applicable carrier, service agreement and legal terms.

Customers should retain relevant packaging and shipment documentation when reporting a potential damage or loss claim.

14

Customer Responsibilities

Customers play an important role in ensuring safe and timely shipment processing.

  • Provide complete and accurate sender and recipient information.
  • Provide accurate cargo description, weight, dimensions and quantity.
  • Properly pack and label cargo.
  • Provide required documents and declarations.
  • Disclose restricted, regulated or special handling cargo before booking.
  • Pay applicable transportation, customs, storage and other agreed charges.
  • Ensure that shipment information complies with applicable laws and regulations.
